Agriculture/Farm Bookkeeping

Bookkeeping for Farms & Agricultural Businesses

Farm Bookkeeping for Lubbock & West Texas

Your farm may run by seasons. Your books need to tell the story of the whole year.

Farm finances don’t follow a neat monthly schedule. Crop proceeds, operating loans, equipment, land rent, fuel, inputs, and repairs move through the business at different points throughout the year.

Nicole Locker Bookkeeping provides farm bookkeeping in Lubbock and across West Texas, helping farmers and agricultural businesses keep their QuickBooks records accurate, organized, and ready when it’s time to make decisions or meet with the CPA.

The Numbers Don’t Always Follow the Calendar

Agriculture Has Its Own Financial Rhythm

You can spend months putting money into a crop before the income arrives. Meanwhile, equipment purchases, operating loans, land rent, crop insurance, co-op activity, and agricultural program payments can make the books more complicated than a typical small business.

Good agricultural bookkeeping keeps those pieces organized so you can see what happened throughout the year, trust the numbers in QuickBooks, and give your CPA cleaner records at tax time.

A quiet month in the bank account doesn’t mean nothing happened in the business.

Bookkeeping Built Around Agriculture

Keeping the Financial Pieces Organized From Planting Through Harvest

Farm bookkeeping is more than recording deposits and categorizing expenses. The goal is to keep each part of the operation organized so your books reflect what is actually happening in the business.

01

Crop & Agricultural Income

Keep crop proceeds, co-op activity, and other operating income recorded consistently so you can follow where revenue came from and provide organized records at year-end.

02

Seed, Fertilizer, Chemicals & Inputs

Agricultural inputs can represent a significant portion of annual spending. Consistent categories keep that information useful instead of burying it in miscellaneous expenses.

03

Equipment, Vehicles & Financing

Keep tractors, harvest equipment, implements, and trucks organized in the books, along with the records supporting purchases, trade-ins, and related financing.

04

Operating Lines of Credit

Keep loan draws, repayments, and interest organized using lender statements so your QuickBooks records give you a clearer picture of what the operation owes.

05

Land Rent & Agricultural Services

Track land rent, custom hire, contract labor, harvesting, spraying, hauling, and irrigation-related costs throughout the year.

06

Crop Insurance & Program Payments

Keep crop insurance proceeds and agricultural program payments identifiable in the books, with supporting documentation ready for your tax professional.

Does This Sound Familiar?

The Farm Keeps Moving, Even When the Bookkeeping Falls Behind

Planting, irrigation, repairs, weather, and harvest don’t stop because QuickBooks needs attention. A few unfinished reconciliations can turn into months of records that are difficult to trust.

  • Your bank accounts haven’t been reconciled in months.
  • QuickBooks doesn’t seem to match your operating loan balance.
  • Equipment purchases and loan payments aren’t recorded consistently.
  • Crop settlements or co-op statements are difficult to follow.
  • Receipts and transactions keep piling up for later.
  • Farm and personal transactions occasionally cross paths.
  • You’re unsure whether your categories give your CPA useful information.
  • Tax time means reconstructing months of financial activity.

You don’t need to clean everything up before asking for help. We can start with where your books are today.

West Texas Agriculture Is Personal to Me

I Didn’t Learn What a Cotton Farm Looks Like From a Website

I grew up in a farming family here in West Texas, and my family still farms cotton today. Agriculture is part of the community and way of life I grew up around.

That background gives me respect for something financial reports alone don’t always show. Farming represents an enormous investment of work, resources, risk, responsibility, and stewardship.

I combine that personal connection with more than eight years of bookkeeping experience, 18 years of operations experience, and more than 11 years of leadership experience.

My job is to help make sure the financial records behind your operation are organized, accurate, and useful.
